Current Program
The Admissions and Records Office facilitates
student access to the institution and maintains and protects
the records of all students. The office provides the following
services: enrollment and registration, attendance accounting
and grade collection, graduation evaluation, transcripts,
verification of enrollment, petition processing, outreach
and special programs support, and veterans' education outreach.
In recent years factors such as new regulations relating to
course repetition, online transcript processing, the introduction
of telephone and web registration, and registering high school
students for Physical Education classes have had an impact
on the department. More demands on the department also are
being made by changes in scheduling, including the compressed
calendar, Winter Sessions and two Summer Sessions.
Personnel - At this time the department employs
15 full-time classified staff members and five short-term
classified employees.
Equipment - At this time most items of equipment
need to be replaced, including computers, a fax machine, filing
cabinets, desks, chairs and a diploma sealer. The furnishings
are inadequate and in very poor condition.
There is an immediate and urgent need for all computers in
the department to be operating and networked together.
Facilities - The existing facilities are very
accessible - close to metro rail and bus. However, the office
space is dirty, old, in very poor condition and too small.
Nineteen people must crowd into a small space and there is
no room for student workers. There is concern that the flooring
and wiring are health hazards.
Future Program
With the expected increase in enrollment,
the department will need more staff and space to accommodate
the incoming students. In both the short term (five years)
and the long term (ten years) it is expected that the department
will increase in size at the same rate as the college enrollment.
Although students will make greater use of the telephone and
the Internet for services such as registration and for printing
their own unofficial transcripts, thus lessening some of those
demands on the department, an increase is expected in demand
in other areas such as graduation processing and attendance
accounting.
Personnel - See Projected Faculty and Staff
Needs.
Equipment - Several pieces of equipment need
to be replaced within the next five years: computers, filing
cabinets, copy machines, diploma sealers, a fax machine, and
a microfilm reader. Several new pieces of equipment are needed,
including a scanner/digital imaging system and data storage
system, ergonomic desks and chairs, and typewriters.
Facilities - A new office space is needed,
with a larger lobby area for students, adequate space for
each employee, additional offices for the Assistant Registrar
and supervisors, and a records storage area separate from
but adjacent to the Admissions Office.
Staff Development - Activities and/or instruction
in how to deal with difficult people and ways to improve service
would be appropriate future Staff Development activities,
as well as some kind of morale boosting activities.
